Position Overview

The Project Coordinator / Administrator will work with various team members in the design office and assist senior staff members in preparation of project documents, correspondence, presentations and execution of general office protocols.

Primary Responsibilities:

Project Management:

• Assist with project management and lead in implementation of the task management software in the office.

• Work closely with Principal Architect to monitor and update project schedules and work with the senior team members in preparation of reports to the client.

• Coordination and scheduling of internal, client, consultant coordination, and other stakeholder meetings. Agenda preparation and distribution. Attend project meetings, taking, producing, and distributing meeting minutes, and following up on action items.

• Lead preparation of consultant RFP and issuance of project quote packages with detailed scope of work to the client. Review, analyze and prepare price quote comparisons using Excel.

Client/Consultant Communication:

• Assist with all communication with consultants, clients, construction, marketing team, and other project stakeholders.

• Support for meeting presentations.

Documentation and Record Keeping:

• Preparation and filing of documentation from start to finish of the project, taking ownership and implementing office protocols. Organization and maintenance of the library of documents and correspondences in SharePoint.

• Work with Contract Administrator to process shop drawings, Site Instructions, and other project and closeout documents in BIM360.

Architectural Support:

• Assisting team members in the production of architectural presentations and reports.

• Assists with material research.

• Other duties as assigned.

Requirements:

• A minimum of 2-3 years of experience in a project coordination role in an architectural or urban planning setting

• Excellent verbal and written communication and organizational skills and presentation skills

• Ability to work well in teams.

• Advanced abilities in the use of MS Office and Adobe Creative Cloud (particularly InDesign, Illustrator and Photoshop). MS Project is an asset.

• Diploma in Architectural Technology, Art or related education is preferred.
